Bea
Illustrative. Automated messages with guest quick replies. Free-text answers shown are handled by the optional Bea add-on.
What’s included
Handles guest communication, check in, stay support, checkout, and operational handoffs from booking to turnover.
Welcome, instructions and reminders sent on each event, in the guest’s channel.
Every confirmed booking opens a thread with the details for that unit and those dates.
The system asks for names, guest count and IDs, and chases the ones that have not arrived.
Access steps, Wi-Fi, parking and house rules, sent as one message instead of six.
Quick-reply menus for Wi-Fi, parking, house rules and late checkout.
Checkout time, key return and the last instructions, sent before the guest has to ask.
Your cleaner and your team are told when a unit is actually free, not when it was scheduled to be.
Deposits, extras and balances are tracked against the booking, and can connect to the payment tools you already use.
One view of every unit, who is in it, and what still needs doing today.
Complaints, damage, refunds and anything outside the rules go to a person on your team.
Add Bea to answer free-text guest questions in any language, from your own property info.
From confirmed booking to clean unit, nothing waits on someone remembering.
Your team handles exceptions. The system handles the rest.
Timing
In one real thread we looked at, a guest was still waiting for an endorsement email when the automation asked whether check in had gone smoothly. Check in had not happened yet. A second automation then chased the endorsement the guest was already asking for, and a person had to step in and untangle all three.
That happens when messages are scheduled against a clock. The system keys each message to the event instead: IDs received, key collected, checkout confirmed. If the step has not happened, the message that assumes it does not go out.
Illustrative sequence. Sample property.
Who it’s for
The work is not one guest. It is the same twelve messages, on every stay, across every unit.
Five or more units, where the guest threads outnumber the people answering them.
Several co-hosts covering the same inbox, who need one consistent answer instead of three.
Front desk hours that end before the arrivals do, with concierge and building rules to relay.
Setup
The system is set up around the way your units already run, and there are things it is told to hand over.
Where bookings arrive, which threads your guests actually use, and who answers them today.
Access steps, Wi-Fi, parking, house rules and checkout per unit, plus who each exception goes to.
Exceptions, disputes and payment verification go to a person on your team, not to the system.
FAQ
Airbnb messaging is available to approved software partners. The system connects through your property management system where it has messaging access, and it can also handle guests on WhatsApp or Messenger after booking. We confirm what your setup allows during discovery, before anything is switched on.
WhatsApp, Facebook Messenger, Instagram and a widget on your own site, plus the guest thread inside your property management system where it exposes messaging. Short term rentals here means Airbnb, Booking.com and direct bookings alike, so the channel mix is part of the discovery.
It asks each guest for IDs, receives them in the thread and chases the ones still missing. For deposits and balances it tracks what is owed against the booking and can connect to the payment tools you already use; verifying a payment stays with your team.
It hands the thread over. Complaints, damage, refunds, anything outside your rules and anything sensitive are routed to a named person on your team with the thread attached. Free-text questions are only answered automatically if you add the optional Bea add-on.
It is scoped to how many properties you run and how much setup each unit needs, so we quote it after a short conversation rather than posting a number that would not apply to you.
